Document Submission Requirements

Images

In HTML, document images are displayed by incorporating a link to the image file in the code. When including images in your documents you must do all of the following:

  • Insert the image into your word document
  • Identify the file name and provide a text description for the image in a comment box
  • Send the image as a separate file (jpeg, jpg or gif)

Each image must have brief text description called alternate text (Alt text) to comply with federal requirements. Section 508 of the Rehabilitation Act requires that all electronic and information technology for federal agencies is accessible to people with disabilities.

Alt text gives semantic meaning to an image, provides a description of the image, and also provides Screen Readers with information to inform vision-impaired students of what type of image they would be viewing.

The most effective alt text supplies both the content and function of the image. Choose keywords that describe the context of the image as well as the function of the image, but remain as succinct possible.

To add an image in Word:

  1. Click on the Insert tab and select Picture.
  2. Locate the image on your computer and select it.
  3. Click the Insert button.
  4. To add alt text, right click on the image, select Size, then select the Alt Text tab. Type a name or description of the image in the Alternative text box.

Comply with all copyright requirements associated with images and provide your instructional designer documentation of copyright permissions that you receive.
